menovo GmbH carried out a structured SharePoint migration to Office 365 and SharePoint Online. The goal was a secure, central project management and document platform with optimized login processes and a modern cloud infrastructure. The transformation delivers lasting improvements to efficiency, customer interaction, and internal collaboration.
As part of the Menovo SharePoint migration and Office 365 transformation, menovo GmbH's existing infrastructure was strategically modernized to automate internal services more efficiently and sustainably optimize complex business processes. The focus is on fast, straightforward solutions for customers' complex business processes.
menovo GmbH operates its own SharePoint server for communicating with its customers. This platform was to be migrated to SharePoint Online, taking the requirements described below into account.
The existing SharePoint environment had gaps and needed to be migrated to Office 365/SharePoint Online. A separate SharePoint site is currently used for each customer to document orders and their status, and SharePoint is also used for internal document management. To process customer orders securely and efficiently, all orders were to be organized within a single project management site.
Through detailed project management and regular feedback sessions, requirements were captured and confirmed by the project stakeholders at menovo. Based on these requirements, the existing SharePoint installation was decommissioned and its content migrated to the new structure in SharePoint Online. A key focus was a simple login process for menovo GmbH's customers. Two alternative login methods were offered, letting menovo GmbH choose the one that suited it best, an advantage, since the system is also used internally. A project management site was also created, providing an internal dashboard with tasks and orders. By involving the customer early on, menovo was able to review the end product throughout development and request changes as needed. The focus was both on simplifying access processes and on providing a clear overview for everyone involved.
Once the refined requirement profiles had been reviewed and approved, implementation began, carried out by experienced software developers. Weekly reporting ensured transparency and kept the customer up to date on the current project status.
During the testing phase, the functionality of the SharePoint environment was reviewed to ensure smooth operation. At the same time, user documentation was created that clearly explains the requirements and how they were implemented.
menovo's employees were able to regularly test the new SharePoint site and the customer site across different server environments and actively contribute to its design. Once all project phases were complete, the go-live was carried out successfully.
The new project management site and customer site are now available to menovo GmbH and meet all defined requirements. Both sites offer modern, user-friendly navigation and fully reflect a state-of-the-art environment. They enable efficient order processing and also serve as a central document repository. In future development phases, the sites are to be expanded further and additional requirements implemented. Through ongoing collaboration between DEVWARE GmbH and menovo GmbH, the SharePoint sites have been continuously optimized.
